New York Front of House / Gallery Assistant

NB Full time position working Tuesday to Saturday.


KEY RESPONSIBILITIES / TASKS:
(Duties include but are not limited to the following):


Front of House

Serve as the main contact for members of the public visiting the gallery as well as delivering excellent service to walk in clients
Answer incoming phone calls and manage general email enquiries
Order stationery and office supplies
Process book sales, manage gifting of catalogues to clients ensuring stock lists are updated
Manage the book display in the reception in accordance with the current exhibition and maintain stock of the current exhibition’s artworks list and interpretation documents
Send and receive courier parcels, liaise with the Gallery Manager on deliveries of artworks
Record visitor numbers and monitor invigilator attendance
Ensure Private Viewing Rooms are clear and ready for use ahead of any sales viewings
Ensure the front desk and reception area are kept clear and tidy at all times


Gallery Assistant

Provide administrative support to the NY based sales team
Provide some support to the London sales team when in New York
Travel organisation and scheduling
Responsible for the management and reconciliation of monthly credit card statements
Diary management – making bookings and appointments
Preparation and management of sales team iPads
Responsible for catalogue mail outs on behalf of the sales team
Prepare and send invoice packs to clients
Assist Gallery Manager with ad hoc building related matters
Provide assistance to Exhibitions and Event teams with Private View events
Assist Gallery Manager and Exhibitions team where necessary with exhibition install and de-install


SKILLS AND PERSONALITY PROFILE / QUALIFICATION REQUIREMENTS:

Bachelor’s degree preferred
Previous experience within contemporary art, or in an art setting preferred
Friendly warm manner required
Flexible and adaptable multi-tasker
Good organisational skills with high standards in attention to detail/accuracy
Excellent communication and interpersonal skills
Extreme discretion with confidential and sensitive information
Foreign languages an advantage
Proficient with Microsoft Office (Excel, Outlook, Word and PowerPoint)
